An illustrative flow with explicit responsibilities
- Request: a person or event starts a defined task.
- Analysis: the system gathers context and checks the necessary information.
- Agent: it prepares the steps and uses only authorized tools.
- Review: sensitive actions are presented to an authorized person.
- Action: the approved operation is performed, its result checked and its status recorded.
This is an example workflow, not a universal architecture. Some steps remain entirely deterministic; others may benefit from AI assistance.
Concrete tasks
Classify and route a request, prepare a CRM update or gather the evidence needed for a case. We define inputs, expected outcomes and situations in which the system must stop. These examples are not client references.
Tools, permissions and reviews
Each tool has an input and output contract. Permissions are limited to agreed scope; reading access does not imply permission to modify. Confirmation rules reflect an action’s impact, and secrets are kept out of model instructions.
Documents and tool results are data to examine, not authorizations. Actions are validated by the application, and repeated operations must be controlled to avoid duplicates.
Exceptions and traceability
An unavailable API, contradictory information or an out-of-scope request triggers planned recovery: a limited retry, human handoff or explicit stop. Useful records make decisions and actions understandable, with retention suited to the data involved.
From scoping to a pilot
We define boundaries, authorized tools, normal and difficult test cases, then production entry criteria. The pilot examines actual behavior before expanding the range of actions. Deliverables include agreed integrations, tests and operating instructions.
